Scenario
You are using Server-Side deployment, and have a main signature that is usually applied to all emails. You want to use a different signature for reply emails in the same email chain.
NOTE: For setting up reply signatures on Client-Side deployment, see How to set a default signature for Client Side with Microsoft 365 subscriptions.
Resolution
In Server-Side deployment, Exclaimer processes and applies the first applicable signature available in your list of signatures. You can use Server-Side Advanced Rules to skip your usual signature and apply a different one based on the email chain.
Tip! You can also configure a signature to only be added to the first message in an email chain, meaning that no signatures are applied to any replies.
To configure a different signature to apply to reply emails:
-
Create another signature to use in your reply emails. Ensure the signature rules are configured to match your main signature.
Tip! Users on Standard or Pro plans can duplicate their existing main signature and edit the design. - Ensure that your reply signature comes directly after your main signature in the All Signatures list. If necessary, use the Re-order tab to re-arrange your signatures.
Your reply signature must come directly after your main signature so that it is the next signature in the list for processing.
- Identify or add a short, unique string of text characters in your main signature that would not usually appear anywhere else in the email. Copy or record this string of characters.
Some examples include the Company Registration Number, part of an office address, or part of your legal disclaimer.
NOTES:
- The text must be 20 characters or fewer.
- Do not include any special characters or symbols.
- From the All Signatures list, locate your main signature and select Manage.
Select Manage for your main signature.
- Select the Advanced Rules tab.
Select Advanced Rules from the tabs ribbon to open the tab.
- Select the Do not add signature if message contains checkbox.
- In the This Text entry field, enter the unique string of characters from Step 3.
- Under In, select Anywhere in email trail.
- Under If this signature is not applied, select Process the next signature.
The exception text added in the Advanced Rules tab.
- In the unsaved changes banner, select Save.
When you send an email, your main signature is applied as usual. When you reply to an email in the same chain, Exclaimer detects the string of characters you entered that are present in your main signature. Your main signature is therefore not applied, and as your reply signature is the next applicable signature, that is applied instead.
