When you add a signature element to your signature design, you can select that element and define a range of properties - among these are Visibility properties.
Visibility properties determine the circumstances under which the selected field should/should not be displayed.
Let's see how we can use conditional visibility in the following scenarios - please click on the required options listed below to go through the detailed description:
NOTE: The steps described here assume that you have already created an email signature. For more information, see how you can create an email signature.
Scenario 1: Let's assume that you've added a mobile element to a signature design, but you only wish to display this in signatures if a mobile number exists for the sender.
Only display an element if specified data is available:
- Open the required signature template within the Signature Designer.
- Select the element you wish to update.
Example:
- From the right-hand side Properties pane, expand the Visibility section.

From the Visible when drop-down, select the Mobile field:

- Now, select the is not empty condition:
Example: - Click SAVE CHANGES to save the changes.
Scenario 2: Let's assume you've added a sales banner to the signature, but you only wish to display this in signatures if the sender is in the Sales department.
Only display an element if the sender belongs to a particular department:
- Open the required signature template within the Signature Designer.
- Select the element you wish to update.
Example:
- From the right-hand side Properties pane, expand the Visibility section.

From the Visible when drop-down, select the Department field:

Now, select the equals condition:
Example:
Alternatively, you might wish to use the contains condition if you have departments such as 'Sales', 'Pre Sales', 'After Sales', and so on.
- In the value field (this is only applicable if certain conditions are selected previously), type the value that should be compared.
Example:
This example will only work if your organization uses the Department field to store departmental information for users.
- Click SAVE CHANGES to save the changes.
Scenario 3: Let's assume you've created two banners - Marketing and Marketing Manager. You wish to display them only for specific departments/roles.
Only display this element for the specified department/role:
You can use the Conditional Visibility tool within Exclaimer Cloud to have more advanced conditions.
- Select the table you have inserted for the banners (by selecting the gold line around it).

Example:
- From the right-hand properties pane, expand the Visibility section.
- Set the Visible when option to Department, then set the equals condition.
- In the value field (this is only applicable if certain conditions are selected previously), type the value that should be compared.
In this case, it is Marketing:
- Now, select the Marketing Manager banner, and from the right-hand properties pane, expand the Visibility section. Select the Visible When option.
- Set the Visibility when option to Job Title, then set the contains condition.
- In the value field (this is only applicable if certain conditions are selected previously), type the value that should be compared.
In this case, it is the Manager:
The preview is:
- Similarly, select the Marketing banner, and from the right-hand properties pane, expand the Visibility section. Select the Visible When option.
- Set the Visibility when option to Job Title, then set the does not contain condition.
- In the value field (this is only applicable if certain conditions are selected previously), type the value that should be compared.
In this case, it is the Manager:
The preview is:
- Save the changes made.
NOTE: There may be occasions where multiple tables will need to be used to which you need to set visibility options; especially if you want to use various If/Or statements to show images, text, or even links and social media, and also have something in place if nothing else shows.

Scenario 4: Let's assume you've added a phone element to your email signature and you wish to show an alternate number if the sender does not have a phone number.
Display alternate number if the specified phone number is not available:
- Open the required signature template within the Signature Designer.
- Insert two Telephone fields. One will be a field (example: {Telephone}) and the other should be entered as a Text. If the telephone number is not populated for a user, in the {Telephone} field in your directory, then the static text telephone number will be used instead.
Example: - Select the first {Telephone} element, then from the right-hand side Properties pane, expand the Visibility section.

From the Visible when drop-down, select the Telephone field, then select the is not empty condition:
Example:
- Now, select the other telephone field, then from the right-hand side Properties pane, Visible when drop-down, select the Telephone field, then select the is empty condition
Example:
- Save the changes made.
You can also use conditional visibility to show different logos for different businesses or show Disclaimer text in different languages (based on the country for translation purposes).
