Signature Usage Analytics

Description

The Signature Usage Analytics dashboard depicts information to help you analyze your organization's signature activity - how you use the emails, who uses the emails, when are the emails being sent, how many emails have signatures applied to them and so on.

How to access it 

NOTE: The Signature Usage Analytics dashboard is only available in Pro Plan. For more information on pricing plans, see Exclaimer Pricing Plans.

To access the Usage option: 

  1. Log in to Exclaimer and select Analytics from the menu sidebar. This opens the Analytics screen.

  2. Select the Usage tab.

Understanding Signature Usage Analytics

NOTE: For the data to be collected and displayed on the dashboard, your emails need to be routed through Exclaimer servers.

The Signature Usage Analytics screen displays a lot of information to help you analyze the performance of your email signatures. 

This screenshot shows an example of the Signature Usage Analytics page: 

The table below describes the different options displayed on this screen:   

Internal/External: Select the option from the dropdown list:

Internal displays data for all emails marked as internal only within the selected date range.
External displays data for all emails marked as external only within the selected date range. 
All Emails display data for all emails - internal and external within the selected date range. 
Filter Date Range: Select the date range to view the data.

The different options are: Today, Yesterday, Last 7 days, Last 30 days and Custom date range.

To set a Custom date range, enter or select a start and end date and time using the calendar picker.

NOTE: The date format is displayed based on your selected language preference.
Emails Sent: Displays the total number of emails sent (from all mailboxes within your organization or any emails that pass through Exclaimer) within the selected date range.
Emails with Signatures Applied: Displays the total number and percentage of emails to which signatures were applied within the selected date range.
Email Signatures Applied: Displays the total number of emails that were sent and had signatures applied to them within the selected date range.

Top Domains Emailed: Displays the top five domains for the signature activity within the selected date range. This means you can see who you send most emails to.

 

Select to view the chart in full screen, pin the chart or download the chart. 

Sent Emails by Day: Displays the number of emails sent within the selected date range in a day (of the week).

Here, you can, at a glance, see if there are any fluctuations in the email activity - which day the email activity is highest and which day there is a dip in the email activity.

Sent Emails by Time of the Day: Displays the number of emails sent by the hour of the day within the selected date range.

Here, you can at a glance see the hourly breakdown - what time of the day the email activity is highest and what time of the day there is a dip in the email activity.

Mailboxes sending emails with no Signatures: Displays the total number of email addresses that were processed but not imprinted within the selected timeframe.

The calculation for this is: P - I = S

Where,
P= total unique email addresses in any event within the filter

I = total unique email addresses in any imprint event within the filter

S = total email addresses that were processed but not imprinted

Select the Download Report option on the top-right to download a .csv file containing a list of all email addresses that did not have signatures imprinted within the selected timeframe.

Signature Templates and Folders: This consists of the following two options:

Active templates: The count of all the active signature templates within your subscription. It means that the signature is active and, as configured, will be applied server-side, client-side or both.

(This count displays the active templates 'now' and is not affected by the selected date range)

You can view the signature status on the Signature Card - whether it was applied or not.
Example:


Signature folders: The count of all folders associated with the Exclaimer subscription tenant. The count does not include the root folder, and it is not filtered by the date range. 

Signature send method: Displays the percentage of signatures that were applied via the Client-Side and how many were applied via the Server-Side feature.

The Applied after send number is a count of all emails that did not have a signature applied to them while drafting the email.

The See before you send number is a count of all emails that had a signature applied to them at the time of drafting the email.
The signature could be applied via the Exclaimer Outlook Add-in or the Exclaimer Signature Update Agent.
