Description
The Microsoft Bookings element enables you to add a button to your signature design for your Microsoft bookings. With this, you can easily share your availability with your contacts and avoid unnecessary attempts to schedule meetings over email.
This feature is suitable for any user in your organization who currently uses the Microsoft Bookings app as part of Microsoft 365.
Microsoft Bookings is automatically included with the following Microsoft 365 plans:
- Office 365: A3, A5, E1, E3, E5, F1, F3, Office 365 operated by 21Vianet.
- Microsoft 365: A3, A5, E3, E5, F1, F3, Business Standard, Business Premium.
- It is necessary to configure your bookings in the Microsoft Bookings app before adding this element to your Exclaimer Signature.

Some scenarios in which you can use this feature:
- Include a team calendar link in a signature used by that team.
Example: https://outlook.office365.com/owa/calendar/Sales@acme.onmicrosoft.com/bookings/
- Add a personal calendar to a signature dedicated to that individual.
Example: https://outlook.office365.com/owa/calendar/John.Doe@acme.onmicrosoft.com/bookings/
- Use Active Directory to automatically populate calendar links that follow a specific pattern.
Example: https://outlook.office365.com/owa/calendar/{firstname}-{lastname}@acme.onmicrosoft.com/bookings/
- Allow employees to add their own meeting booking URLs to their signatures using Custom variables.
Example: https://outlook.office365.com/owa/calendar/{CustomVariable1}
How to access it
To access the Microsoft Bookings signature element:
- Open the signature (in the Signature Designer) to which you wish to add the Microsoft Bookings element.
For more information, see how you can select a signature to edit.
- From the left-hand side toolbox, expand Calendars and select Microsoft Bookings.

To add Microsoft Bookings to your email signature:
- Open the required signature template within the Signature Designer.
The steps described here assume that you have already created a signature template. If you would like more information, you can see how you can create an email signature.
- From the left-hand side toolbox, expand the Calendars section and drag and drop Microsoft Bookings onto the signature/gridded background.

Once you drop the Microsoft Bookings element onto your signature, the Microsoft Bookings window is displayed.

To define your Microsoft bookings:
- In the Exclaimer's Microsoft Bookings window, in Booking page URL, enter the URL of your Booking page as shown within the Microsoft Bookings page.
- You can also copy-paste the link.

Example of the Bookings window:
- In Booking link text, enter the text you wish to display in your signature. Example: Book a demo with me
- Click Preview Link in new Tab to open the entered URL link in a new tab.
- From the Booking link style, select the style of your booking link.
- Select Link to display your booking text as a link.
Example:
- Select Light Button to display your booking text as a button with light colour.
Example:
- Select Dark Button to display your booking text as a button with dark colour.

- Click OK to save the changes made.
To edit your Microsoft booking page URL:

In the Signature Designer, select the booking text. The Calendar Sharing Button properties are displayed on the right-hand pane.

Please see below the description of the Calendar Sharing Button properties:
Font Family From the drop-down, select the font style you want to use in your signature.
By default, the selected font style is 'inherit' - leave this font if you want to inherit the font style from the parent element. Click MANAGE to upload custom fonts.Font Size From the drop-down, select the font size you want to use in your signature.
You can select the font size in pixels or points.
By default, the selected font size is 'inherit' - leave this if you want to inherit the font size from the parent element.Booking page URL Click EDIT BOOKING PAGE URL to edit the booking page URL.
The Booking page URL window is displayed.
Example:
- In Booking page URL, enter the updated URL.- Click Preview Link in new Tab to open the entered URL link in a new tab.
- Click OK to save the changes made.Text Color Select the required color for the booking text link.
To delete your Microsoft Bookings
- Within Signature Designer, select your booking text.
- From the right-hand side, Properties pane, click DELETE.
