Scenario
You have an existing signature template, but you would like to add user information such as job title, phone number, work address, and/or name(s) to the signature.
Resolution
To add personal details about the user to a signature template, use one of the {Fields} elements - All {Fields}, Address {Fields}, Personal {Fields}, or Contact {Fields}. Each element adds a different set of data fields to the sigature, but all fields can be added/removed as necessary. Fields pull data from wherever your synchronized user details are stored, meaning that the data displayed in the signature is specific to the user sending the email.
To add your user information to your template using {Fields}:
- Open your signature in the Signature Designer.
- From the Toolbox, expand the Text & Fields section.
-
Choose a {Fields} element and drag it onto the canvas to add it to the template. This opens the {Fields} element window.
NOTE: Each {Fields} element is fully customisable. You can add or remove fields, and do not have to use a specific type of field. -
Choose which {Fields} to use by selecting from the Field drop-down. To add more fields, select the + Add {Field} button, and select the bin icon to remove individual fields.
NOTES: You do not have to use the pre-set fields given by the element, and can add up to 10 {Fields}. Adding more than one {Field} creates a new group. Groups of elements share properties and can be moved around the canvas together. For more information on grouped elements, see Colored borders, grouping, and inherit properties in the Signature Designer. - [Optional] Add labels to your fields by selecting a picture icon from the Label drop-down or by entering a text label for each field.
- [Optional] Select the Show field separators checkbox to enable separators between each field in the group.
- If you have added more than one field, choose a layout for your fields using the radio buttons under Select the layout to use for the selected fields.
- Table creates a new table with one field per cell.
- Multi-Line displays each field on a new line within a group.
-
Single Line displays the fields together on the same line within a group.
- Select OK to add your {Fields} to your signature.
- Your template shows which {Fields} are being used in the signature. Use the Preview pane in the Signature Designer to see how that user data will display for each user by entering the sender's email address in the search bar.
- When you are finished editing, select Save Changes to save your signature template.
By default, the All {Fields} element provides a single user details field when customising in the element window.
The other {Fields} elements provide the following default user details fields:
| {Fields} element | Default fields |
| Address {Fields} | Street, City, State, Zip Code, Country |
| Contact {Fields} | Telephone, Fax, Mobile, Email, Website |
| Personal {Fields} | Display Name, Job Title, Company Name |
You can remove or change the field of any provided default in the element window, and/or add up to 10 fields.
You can choose any of the following user details in their respective {Field} format to use in a {Fields} element:
- City
- Company Name
- Country
- Department
- Display Name
- Fax
- First Name
- Job Title
- Last Name
