Scenario
You have granted permission to users to send email from a group's email address (see Send emails from a different address or alias); however, only the sender's signature is applied to the email.
Reason
Gmail sets a header called "Return-Path" in the email's details. This header holds the main email address of the person who is sending the email on behalf of the group.
Exclaimer checks the sender's email address in that header and determines whose signature should be added.
So, even if a user is sending the email from a group email address, Gmail will always set the "Return-Path" header to the individual who hit the Send button. Exclaimer then applies the signature for that individual.
Resolution
The best way to apply signatures for group email addresses is to create a custom signature for that group, which is set to apply using a subject line trigger rule.
Follow the steps below to implement this strategy:
- Log into Exclaimer and navigate to the Signatures section.
- Select Create Signature.
-
Within the Signature Designer, customize your signature using the signature elements. For more information, see the complete list of all the signature elements.
-
One by one, select the signature elements and update their properties with the necessary information manually. Include details such as the group name, contact information, or any other relevant data.
NOTE: Ensure that the signature template contains static details that are applicable to the group. Do not use Dynamic {Fields} here. -
Specify the end users who will use this signature as a group.
-
Configure a subject line trigger rule to make the signature only apply when the specified subject line text is added to the email.
- Enable the signature for Server-Side or Client-Side as required.
