Outbound emails rejected after your Exclaimer trial expires

Scenario

When an Exclaimer trial subscription expires, Microsoft 365 can continue routing outbound emails through Exclaimer. Exclaimer no longer processes these emails, which can cause them to bounce.

The bounce message displays the following error:

Cancelled by XXXXX

Reason

Exclaimer stops processing emails when a trial subscription expires. However, the transport rule and connectors that Exclaimer creates during setup remain active in your Microsoft 365 Exchange environment. Exclaimer cannot automatically modify or remove these Exchange settings, so you must remove them manually.

As a result, your mail server continues to route outbound emails to Exclaimer. Because the subscription is inactive, Exclaimer rejects the emails, and your mail server generates an NDR.

During setup, Exclaimer creates a transport rule in Exchange named Identify messages to send to Exclaimer Cloud.

Resolution

Disable or delete the Exclaimer transport rule to restore mail flow immediately.

  1. Sign in to the Microsoft 365 Admin Centre.
  2. Open the Exchange Admin Centre, navigate to Mail flow, then select Rules.
  3. Locate the rule named Identify messages to send to Exclaimer Cloud.
  4. Disable the rule.

Outbound emails will resume as soon as you disable the rule.

Complete the full uninstall process to remove the Exclaimer configuration from your environment.

NOTES 
• Purchasing a subscription also restores mail flow, since Exclaimer resumes processing emails once the subscription is active. 
• If your trial has been expired for an extended period, expect a short delay after purchase before email processing resumes. 
• If you manage Exclaimer subscriptions for multiple clients, remove the mail flow configuration from any client environment where the trial is not converting to a paid plan.
