Description
Just like how you define the senders and recipients for a selected signature, you can also define a date/time period for using the signature. For example, you can define a signature with time-limited promotional content, include a holiday message (in the signature) at certain times of the year and so on.
You can also set an advanced date range - this is particularly useful in scenarios such as:
- To meet the sales target, the Sales team can implement the 'Buy Now' link on their signatures every month end.
- To display different signatures with different contact numbers during working hours and out of hours.
This topic describes the steps to set the date/time for the 'selected signature'.

To access the Date/Time tab:
- From the All Signatures tab, select the signature to set the date/time, then click MANAGE.
The selected signature window is displayed.
- Select the Date/Time tab to define the date/time range for the selected signature.
To set a particular date/time for the selected signature:
- From the Date/Time tab, select Apply date and time range to enable the Start and End Date/Time for the selected signature to be applied to the emails.
- Click to open the calendar and time selector. Select the required start and end date/time, then click Set.
- If you need a more specific time, click in the time field and manually type in the required time.
- Click SAVE CHANGES to save the changes made, else click CANCEL CHANGES.
The selected signature is updated, and you can see the Date/Time rule on the signature card.
For example:
- If a Date/Time rule is applied to the signature, then the Date/Time Range Applies is displayed. If the Date/Time rule is always enabled, then Always Active is displayed.
When the End date and time are reached, the signature will stop being applied (this means it will be ignored during processing, and the next applicable signature will be used).
To set an advanced date/time for the selected signature:
- From the Date/Time tab, click Add Advanced Date Range to set the advanced date/time.
The Advanced Date Range window is displayed:
- In Description, enter a meaningful description for setting the date range. It is mandatory to enter the Description.
Example: Summer 2022 promotional banner.
- From the Time Zone drop-down list, select the appropriate time zone for the new date range rule.
- In the Apply Signatures section, select if you wish to:
- Apply signatures Within this time period: This means that if all the conditions are met within the time period specified, the selected signature will be applied to the email.
- Apply signatures Outside this time period: This means that if all the conditions are met outside the time period specified, the selected signature will be applied to the email.
- Now, select the criteria for the condition - the time period:
NOTE:- From the Interval drop-down list, select which interval you would like the selected signature to be displayed.
- Please note the subsequent options change according to the Interval option you select.
- A minimum of one condition is mandatory; a maximum of 20 conditions is acceptable. After a maximum of 20 conditions, the Add Condition option will be disabled.
The options are Daily, Weekly, Monthly, Monthly Advanced and Date and Time Range.
NOTE:
- You can add multiple sets of advanced date ranges.
The different criteria imply:
Daily: You can set the start and end hours of the day. Example: 9 AM to 6 PM.
Weekly: You can set the start and end of specific days of the week. Example: Monday, Tuesday.
Monthly: You can set the start and end of specific dates of the month. Example: 1st to 18th.
Monthly Advanced: You can set the start and end of weekdays within each month. Example: First Monday, Second Friday.
Date/Time Range: You can set the start and end of a specific date/time range. - Click Add Condition to add another condition.
- If required, click to delete the selected condition row.
- Click OK to save the changes made to the advanced date range and close the window. You will be re-directed to the Date/Time tab, and the changes will be reflected.
Example:
- Click to edit the advanced date range.
- If required, click to delete the advanced date range.
- Click SAVE CHANGES to save the changes made, else click CANCEL CHANGES.
