How to add pronouns to the signature template

Scenario

You have an existing signature template, but you are unsure of how to add information such as pronouns or any other personal detail to the template.

Resolution

NOTE: The steps described here assume that you have already created an email signature. For more information, see how you can create an email signature.

To resolve this issue, you can follow any one of the three solutions described below: 

Solution 1: (Recommended) Use the original 15 Custom Attributes from Microsoft 365, populate the fields with the pronoun in each user mailbox, and then drag the field into the template.

  1. Select All {Fields}, the All {Fields} window is displayed. From the Field dropdown list, select an existing custom attribute. You can use any field from the local directory that isn't multi-value, for example: {AAD.info}

  2. Drag the field into your signature design template.

Solution 2: Use the User Details Editor to allow end-users to set their own pronouns. 
If your Exclaimer Cloud pricing plan allows access to the User Details Editor, you can utilise this to allow your end-users to set their own pronouns.

(Optional step for Pro plan subscriptions) Create a dedicated field for pronouns

  1. Sign in to your Exclaimer Cloud portal and launch your subscription.

  2. Navigate to Manage User Data.

  3. In the User Details Upload section, select EXPORT EXISTING.
    A CSV file download will begin.

  4. Open the CSV file. This contains an export of users, aliases, and any existing override data that is stored against them.

  5. In the first blank column add the name of your new field, e.g. 'Pronouns'.

  6. Save the CSV file.

  7. Return to the Exclaimer Cloud portal and, in the User Details Upload section, select UPDATE EXISTING.

  8. Select the CSV file that you just saved with the new column header.

1. Enable the required field for users to edit.

  1. In the User Details Editor section, select GO TO USER DETAILS EDITOR.

  2. Sign in as a Global Administrator or Super Admin account.

  3. Select SETTINGS.

  4. Find the field you want to use for pronouns.

  5. Check the box for that field to enable it for end-users to edit.

  6. Select SAVE CHANGES.
Note: The fields that you can enable are limited by your Exclaimer Cloud Pricing Plan.

2. Users sign into the User Details Editor to set their own pronouns.

In the User Details Editor section, copy the URL provided and distribute it to your end users.

They will be able to enter their pronouns in the field that you have enabled for them to edit, then save the changes.

3. Add the field to the signature template

  1. Edit the signature design that you wish to add the field for pronouns.

  2. Drag the All {Fields} element to the desired location on the signature canvas. The All {Fields} window is displayed. From the Field dropdown list, select the required field for pronouns.

  3. Save your changes.

 

Solution 3: Use Azure AD Connect to synchronize a dedicated attribute, then drag it into the template.
If you have a local Active Directory it is possible to create a custom AD attribute which can be synchronised to Exclaimer Cloud Configure the custom attribute
  1. Create a new field in AD as per: How to create new custom AD attributes for use with Exclaimer Cloud signature templates.

  2. Populate the new pronouns attribute with your user's pronouns.
    1. Open the Active Directory Users and Computers.

    2. Go to View and select Enable Advanced Features.

    3. Navigate to the organizational unit which contains the user you wish to populate the data for.

    4. Double-click the user to open the account's properties, then navigate to the Attribute Editor tab.

    5. Locate the attribute you created for pronouns and enter the data as required.

  3. Add the new attribute to the Directory Extensions in Azure AD Connect as per: How to enable and configure Directory Extensions in Azure Active Directory Connect.

  4. Enable Synchronizing All Azure AD Attributes.

  5. Run a data synchronisation.

Add the field to the signature template

  1. Edit the signature design that you wish to add the field for pronouns.

  2. Drag the All {Fields} element to the desired location on the signature canvas, the All {Fields} window is displayed. From the Field dropdown list, select the required field for pronouns.

  3. Save your changes.
Solution 4: Use a text box to enter pronouns for the required person, then use the visibility on the text box to display it based on the display name.
  1. Drag a text box into your signature design template.
    Example:


  2. As required, rename the textbox to 'He/His/Him', 'She/Her/Hers' or 'They/Them/Their'.
     
  3. Select the required text box, then from the right-hand side, within the Visibility properties, select the Visible when option and enter appropriate values.
    Example:
