Scenario
You want to define different versions of a signature, depending on whether the recipient is internal or external. For example, for external recipients, you want a signature with a sales image and full contact details, but for internal recipients, you want a signature with no image and only brief details.
Resolution
This article describes how you can resolve this issue for:
Signatures applied via server-side rules
For signatures applied via server-side rules (that is, not configured for deployment to email clients), follow the steps below:
- Log into the Exclaimer portal (portal.exclaimer.com) and Launch your subscription. All existing signatures (and signature folders) are displayed on the Home page.
- Hover your cursor over the signature that you wish to update then click Select recipients:
The Select recipients window is displayed: - As required, select internal recipients or external recipients.
Note: For more information, see How to apply a signature based on the recipient of the message. - Click OK to save the changes.
Signatures applied via client-side signature rules
If your subscription is configured to synchronize signatures with email clients (for example, Gmail or Outlook), it is not possible to treat internal and external emails differently.
This is because the signature is automatically added as soon as the user chooses to create a new email, or to reply/forward an existing email. At this point, the email has not been sent and/or categorized by the client as being internal or external.
