Scenario
As an Exclaimer Cloud Administrator, you wish to exclude a signature from being applied to 'specific sender' reply emails.
Resolution
You can exclude a signature from being applied to specific sender reply emails by:
-
Editing the Signature Rules to include the exception text.
You can now include Active Directory fields within curly brackets.
-
Editing the signature in the Exclaimer Cloud Template Editor to include the exception text.
You can format this text and make it small so that it is not visible.
Caution: For Exclaimer Cloud to exclude a signature from being applied to specific sender reply emails, you need to make changes to both - the Signature Rules and your signature design.
Editing Signature Rules
- Hover your cursor over the required signature and choose the Signature rules option:
The Signature rules window is displayed with focus on the Server-side (Office 365) tab.
- Ensure that the Apply this signature option is enabled:
- Enable the Don't add a signature if the message contains option, then type the required exception text in the space provided.
- Enter the required Active Directory (AD) field within curly brackets ({ }).
The field within the curly brackets enables Exclaimer Cloud to evaluate the data as if it was populated by the specific sender.
In this example, we have added an exception text field Signature For {DisplayName}.
Caution: For Exclaimer Cloud to evaluate the signature rule on a per sender basis, make sure the same prefix (in this example, Signature For) and AD field (in this example, {DisplayName}) is specified in your signature as well.
For more information, see Editing signature in the Exclaimer Cloud Template Editor.
Now, let's assume Karen Green works in an organization and is liaising with her colleagues regarding some project.
As the Signature Rules exception text field has: 'Signature For {DisplayName}', the exception text {DisplayName} will be interpreted as Karen Green when Exclaimer Cloud evaluates the email sent by Karen Green.
If the email chain already has Karen Green's signature, then after evaluating, another signature specific to Karen Green's will not be added to the email reply. On the other hand, if Matt joins the email conversation and as his signature is not on the email chain, the signature rule will evaluate this and add Matt's (specific user) signature to the email reply.
Editing signature in the Exclaimer Cloud Template Editor
- Hover your cursor over the required signature tile and select the Signature design option:
The selected signature is opened in the Signature Designer.
- Drag and drop a text field in the signature. Edit the name with the same prefix and AD field as specified in Signature Rules.
We recommend: You make the exception text as small as possible so it's not visible.
