You are using Exclaimer Cloud – Signatures for Office 365, and start to receive bounce-backs emails from sent messages, with the below error:
This issue can occur when a '–' (dash) symbol forms part of the recipient address, commonly appearing when a recipient address has been copied and pasted into the To: field from another source when composing an email.
When copying and pasting in this manner, any address containing a hyphen will be converted to a dash, the result of which means that the mail address is no longer in a supported UTF-8 format.
While the mail address will appear to be valid to the sender, the mail client and server will not be able to correctly handle this character as part of a valid address, leading to the rejection of the mail, and the above error.
The recipient address must be typed manually instead of being copied and pasted. To delete the incorrectly formatted address from Outlook:
- Open Outlook and select ‘New Email’
- Begin typing the email address of the recipient causing the issue
- Click the X on the right-hand side of the drop down box as pictured below
4. Type the recipient address manually, this new address will be correctly stored within Outlook after successfully sending an email.
